What we collect
- What you tell us in our forms: your name, email address, and optionally your phone number, business name, website, what you do and where, and your message.
- How you reached the form: the page address you submitted from and any campaign tags in the link (for example utm_source), so we know which of our marketing works.
- Your marketing choice: whether you ticked the box to receive marketing emails, and which version of that wording you saw.
- Emails you send us and our replies.
- Public information about your business that we look at to carry out a check or audit you have asked for, such as your website, reviews and directory listings, and what AI assistants say about you.
We do not ask for, and ask you not to send us, sensitive information such as health details.
How we use it, and our lawful basis
- To answer your enquiry or run the free check you asked for. Lawful basis: our legitimate interests in responding to people who contact us, and, where you are asking about our services, taking steps at your request before entering into a contract.
- To provide services you buy from us. Lawful basis: performance of a contract.
- To send you marketing emails, only if you ticked the box. Lawful basis: your consent. You can withdraw it at any time using the unsubscribe link in any email or by emailing us.
- To keep records, handle complaints and meet our legal obligations such as tax and accounting rules. Lawful basis: legal obligation and legitimate interests.
- To understand which marketing brings enquiries (the page and campaign tags). Lawful basis: our legitimate interests in running our business efficiently.
Who we share it with
We do not sell your data. We share it only with service providers who process it on our behalf, under contract:
- Base44: hosts this website and the system where form enquiries are stored.
- Microsoft 365: our email and office tools, used to reply to you and to keep business records.
- Google Analytics: only if you say yes in the cookie banner. It measures how the website is used (pages viewed, buttons clicked, forms sent). We never send it your name, email, phone number or message. See our cookie notice.
We may also share data where the law requires it, or with professional advisers such as our accountants and lawyers.
International transfers
Some of our providers may store or process data outside the UK. Where they do, we rely on UK adequacy regulations or appropriate safeguards such as the UK International Data Transfer Agreement or Addendum.
How long we keep it
- Enquiries from people who do not become clients: 24 months from your last contact with us, then deleted.
- Client records: for as long as we work together, then as long as the law requires (financial records are usually kept for six years).
- Marketing consent records: for as long as you are subscribed, plus a short period afterwards so we can show we respected your choice.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of your personal data;
- ask us to correct data that is wrong or incomplete;
- ask us to delete your data;
- ask us to restrict how we use your data;
- object to us using your data on the basis of legitimate interests, and to direct marketing at any time;
- ask for data you gave us to be passed to you or another organisation (data portability);
- withdraw your consent at any time, where we rely on consent.
To use any of these rights, email hello@trustedmedia.co.uk. We will reply within one month. There is usually no charge.
